Privacy Policy

Last updated: October 18, 2026

Emerald City Ball Hockey Foundation (“Emerald City Ball Hockey,” “we,” “us,” or “our”) is a nonprofit youth sports organization based in Mill Creek, Washington. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit emeraldcityballhockey.com (the “Website”), register a player, make a payment, or otherwise interact with our programs.

By using the Website or registering for our programs, you agree to the practices described in this Policy. If you are registering a child, you are doing so as their parent or legal guardian and consent to this Policy on their behalf.

Information we collect

Information you provide. When you register a player, sign a waiver, complete an interest or contact form, subscribe to updates, or make a payment or donation, we may collect:

  • Player information — name, age or date of birth, grade or school, and division;
  • Parent / guardian information — name, email address, phone number, and mailing or billing address;
  • Emergency contact and, where you choose to share it, relevant medical or allergy information needed for player safety;
  • The content of messages, form submissions, and correspondence you send us;
  • Payment details for league fees, camps, or donations. Payments are processed by our payment provider (Stripe) — we do not store full card numbers on our systems.

Information collected automatically. When you visit the Website, we and our analytics providers may automatically collect limited technical information, such as your IP address, device and browser type, pages viewed, and referring pages, through cookies and similar technologies. See our Cookie Policy for details.

How we use your information

  • To register players and administer our leagues, camps, clinics, and events;
  • To process payments, fees, and donations;
  • To communicate with you — registration confirmations, schedules, cancellations, safety notices, and league news and newsletters;
  • To support player safety, including responding to injuries or emergencies;
  • To meet the requirements of our sanctioning body and insurance (USA Ball Hockey), such as confirming eligibility and coverage;
  • To operate, maintain, and improve the Website and our programs;
  • To protect against fraud or misuse and to comply with legal obligations.

Children’s privacy

Our programs serve youth players, so we knowingly collect information about children — but we collect it from a parent or legal guardian during registration, not directly from the child. We do not knowingly allow children under 13 to create accounts or submit personal information to us without parental involvement, consistent with the Children’s Online Privacy Protection Act (COPPA). We use children’s information only to operate our programs and keep players safe, and we do not sell it or use it for advertising. A parent or guardian may review, update, or request deletion of their child’s information at any time by contacting us below.

How we share information

We do not sell your personal information. We share it only as needed to run our programs, including with:

  • Service providers who act on our behalf — our payment processor (Stripe), website hosting and infrastructure providers, email and newsletter tools, and analytics providers (Google Analytics);
  • Our sanctioning body and insurer (USA Ball Hockey) where required for eligibility, sanctioning, or coverage;
  • Coaches and volunteers on a need-to-know basis, for roster, scheduling, and player-safety purposes;
  • Authorities or others when required by law, to enforce our Terms of Service, or to protect the safety, rights, or property of our players, families, volunteers, or organization.

Cookies and analytics

We use cookies and Google Analytics to understand how visitors use the Website so we can improve it. You can opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on, and you can control cookies through your browser settings. For more, see our Cookie Policy.

Data retention

We keep personal information for as long as needed to provide our programs, meet legal, tax, insurance, and recordkeeping requirements, and resolve disputes. When information is no longer needed, we take reasonable steps to delete or de-identify it.

How we protect your information

We use reasonable administrative, technical, and organizational safeguards to protect personal information, and we limit access to those who need it to run our programs. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and rights

  • You may request access to, correction of, or deletion of the personal information we hold about you or your child;
  • You may unsubscribe from marketing and newsletter emails at any time using the link in those emails (we may still send essential registration and safety messages);
  • You may control or disable cookies through your browser.

To make a request, contact us using the details below. We may need to verify your identity before acting on a request.

Third-party links

The Website may link to websites we do not operate, such as our payment processor or sanctioning body. We are not responsible for the privacy practices of those sites, and we encourage you to review their policies.

We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and revise the “Last updated” date above.
